Terms and Conditions Agreement
Service Area: Washington, D.C., Maryland and Northern Virginia (DMV)
1. Reservation & Payment
A 20% non-refundable down payment of the total cost and a signed agreement are required to confirm your reservation. The remaining balance is due no later than 7 days before the event date. Accepted payment methods: credit/debit cards and PayPal.
2. Site Preparation by Client
Clients must ensure the event site is properly prepared prior to delivery/setup, including the following: Clear and level ground for tent or equipment installation, adequate access for trucks and staff. Removal of obstructions (e.g., furniture, debris, lawn decorations), underground utilities must be marked. The Company is not responsible for unmarked utility damage. ***If the site is not ready, additional labor charges or delays may occur.
3. Delivery, Setup & Pickup
Delivery
Delivery windows are scheduled based on availability and order size.
Standard delivery hours: 8:00 AM – 6:00 PM, Monday through Saturday.
Deliveries requested outside of standard hours, including after-hours or Sunday deliveries, will incur additional fees.
We will notify clients promptly of any necessary changes to the delivery schedule, as occasional adjustments may be unavoidable.
Rental Item Pick-Up (by Company)
Pick-up will be scheduled at the end of the rental period, between 12:00 PM and 6:00 PM.
Warehouse Pickup & Drop-Off
Clients may choose to pick up rental items at our local warehouse during standard business hours.
- All warehouse pickups must be completed before 5:00 PM.
- Rental items picked up from the warehouse are due back at the end of the rental period, no later than 1:00 PM.
Please contact us in advance to schedule warehouse pickups and returns to ensure smooth coordination.
S.N LaVie Event Rentals & Services is responsible for setup and take- down of tents, dance floors, pipe & drapes, arch or backdrop frames included in the client’s order. The client is responsible for all permits/licensure required for tents setup and take-down prior to schedule delivery date. However, setup and take-down of all other rentals must be requested in advance. Setup and take-down service will be billed separately unless otherwise specified in your order. The Client or representative must be present during delivery and pickup to confirm inventory.
4. Rental Period & Late Returns
The standard rental period for all items is one day of use. Extended rental periods are available upon request and must be arranged in advance. Late returns will incur daily rental charges at the standard rates, unless alternative terms have been agreed upon in writing prior to the rental.
5. Damage, Loss & Responsibility
Responsibility transfers to the Client upon delivery or pick up until they are returned. All rented Items must be secured from theft, damage, misuse or adverse weather. If rental items are returned damaged, missing, or unusable (beyond normal wear and tear), the client will be charged for the replacement or repair cost as assessed by S.N. LaVie Event Rentals & services. Charges will apply for any lost, stolen, burned (napkins/linens), broken, or irreparably damaged items at full replacement value. All items are inspected before and after each rental. Clients are encouraged to inspect items upon delivery and notify us of any damage or discrepancies within 2 hours of delivery.
Tablecloths, linens, and napkins must not be returned with wax, burn marks, mold or excessive stains (e.g., ink, food dye). Items returned with such damage will incur cleaning or replacement fees. Clients are responsible for protecting all rented items from weather conditions including (Rain, wind, and extreme heat). Tents, furniture, and linens must not be left exposed or unattended in inclement weather.
6. Security for high-Value Rentals, Changes, Cancellations & Refunds
For certain high-value items (e.g., Chiavari chairs, tenting, luxury dinnerware), a refundable security hold may be placed on the client’s credit card 24-48 hours before the event. This hold typically ranges from $100 to $500, depending on the rental value and quantity. A credit card authorization may be required. The hold will be released within 3-5 business days after all items are returned in an acceptable condition. Clients will be notified of any deductions due to damage, loss, or excessive cleaning prior to final billing.
Cancellations must be made in writing before 5:00 P.M. two days prior to the client’s scheduled delivery date. Any cancellation due within the cancellation timeframe will take one to two weeks to be completed. The refund amount will not include the non-refundable deposit. Refunded check will be mailed to the client address on file.
Once the client receives rental items in their possession, there are no refunds, discounts, or credits if events are cancelled/ rescheduled or rentals are not in use. The client must provide S.N. LaVie Event Rentals & Services with final count of rented items no later than 5:00 P.M. 2 days prior to the confirmed scheduled delivery date. Additional rental items request is based on availability.
Refund Policy: 14+ days before event: refund minus deposit and Less than 14 days: no refund. Custom orders and sub-rented specialty items are non-refundable.
7. Weather-Related Risks
The Company is not responsible for weather-related cancellations or damages after delivery. Refunds will not be issued for unused items due to the weather. Tents and equipment must be monitored and properly secured by the Client.
8. Permits, Venue Rules & Other Services
The client is responsible for all necessary permits, venue permissions, and adherence to HOA/municipal regulations. S.N. LaVie offers additional event services upon request, including the following: Event staffing, full-service setup, breakdown, cleaning services, on-site event coordination, décor installation, vendor sourcing & referrals (e.g., catering, DJs, florists, bakery, beauty services) These services must be booked in advance and may require separate agreements or deposits.
9. Substitutions & Product Availability
In the event of product unavailability, we reserve the right to substitute items with comparable or higher-value products. Final order modifications must be made at least 7 days prior to the event date.
10. Liability & Insurance
The Company is not liable for injury, loss, or property damage resulting from misuse, improper setup by third parties, or failure to follow instructions. The client agrees to indemnify and hold harmless S.N. LaVie Event Rentals & Services against any and all claims arising from use of rented equipment.
11. Dispute Resolution
This Agreement shall be governed by the laws of the Commonwealth of Virginia. Any disputes shall be resolved in Prince William County, Virginia courts. By placing a reservation with S.N. LaVie Event Rentals & Services, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions.
